We are looking for a charismatic, welcoming and empathetic individual who will take care of the front of house and contribute to our goal of helping our clients immigrate to the United States. The receptionist position serves as a conduit of communication and ambassador to our clients, this is why this role is of paramount importance.
Responsibilities:
- Answers the telephone and directs them to appropriate personnel;
- Determines work priority within clerical unit, develops and refines routines and schedules;
- Engages in various complex record keeping, posting, filing and sorting to departmental records;
- Maintains financial records, including invoicing and billing;
- Prepares and routes routine interdepartmental paperwork;
- Creates and maintains filing systems;
- Sorts and scans incoming mail, reports, requisitions, or inquiries, distributing them with instructions to be taken;
- Collects information for each department;
- Schedules meetings, consultation and appointment accordingly and efficiently for the attorney and paralegals;
Requirements:
- Bilingual English and Spanish REQUIRED
- Must be willing to learn our internal procedures;
- Neat and Professional Presentation/Disposition; we only get one opportunity to make a first impression;
- Work well with others;
- Must be able to multi-task and work in a fast paced environment;
- Ability to take direction, feedback and embrace new taskings;
- Experience is not required, we are willing to train the right candidate.
